Content Inventory & Audit

An enterprise-level understanding of legacy content to support platform migration.

Situation

KP was in the middle of an enormous content migration to Adobe Experience Manager. Up until that point, the content migration aligned with the Product roadmap, which meant that we migrated content to AEM as we made changes to existing products and features.

Senior leadership announced that we needed to get off the existing platform by the end of that calendar year, which was a much faster timeline than the Product roadmap schedule.

Tasks

Do a sitewide content inventory and audit to inform a migration strategy for content still on our legacy platform.

Actions

To start, we needed to answer some basic questions, like:

  • How much content do we need to migrate?
  • What do we want to migrate and what can we retire?
  • For those pages that we do want on the new platform, do we move them over as is or make content changes prior to migration?

We found out the hard way that we couldn’t crawl our site with an automated tool like ScreamingFrog, so we had to manually create the inventory. We pulled together a team of content strategists and others and divided up the sections of the site by content domain.

The team met weekly to align on the approach. After the initial inventory work was completed, we discussed our analysis criteria for the audit. We included SEO and usage analytics. We looked at static pages outside of log-in and didn’t include labels or other content fragments.

In order to reach our goals on schedule, we assessed groups of similar content resources, as opposed to auditing each individual asset.

Results

Complete content inventory and audit of static pages on KP.ORG and Thrive (Marketing site) and overview deck for senior leadership with high-level findings and recommendations. The inventory and assessment were used to provide guidance for:

  • Migration strategy
  • Distributed publishing strategy
  • Future state experience strategy
